Send SMS

Installing the SMS-Magic Extension on Zoho CRM enables you to send SMS messages to your Leads and Contacts. You can send messages using a Send SMS button available on the List View of Leads and Contacts Modules, as shown in the figure.

You can also configure the Send SMS button on any other Module from which you wish to send messages. 

To add the Send SMS button as per your requirement, follow the steps below:

  1. In your Zoho CRM account, navigate to Setup > Customization > Modules and Fields. Go to the Modules tab and open the module in which you wish to add the Send SMS button. 
  1. Go to the Links and Buttons tab. The Send SMS button is already created for List View Page
  2. Click on the Create New Button
  1. Enter the details for creating the button:
    • Button Name: Name for the Send SMS button
    • Placement of Button: Choose the required location where you want to place the button. The valid options are –
      1. View Page: Button will be visible on the Details Page of each record.
  1. List View – Each Record: Button will be visible on each record on List View. If the button is not visible, please add the button on the Canvas of your module’s list view.
  1. List View – Mass Action Menu: Button will be available on the List View as a mass action menu, visible on selecting one or more records.
  1. Action: Choose Invoke a URL option 
  2. Sample URLs:

Note: This button will pick up the phone number stored in the Mobile field.

You can create a new URL for Custom Modules by navigating to Get Started > Configure > Button Configuration on SMS-Magic Portal

  1. Choose how you want the URL to open. A New Tab option is recommended.
  2. Click on the Save button



Bulk SMS to List

You need to update and install version 25.0 of SMS-Magic Interact package on Zoho CRM to send SMS/MMS messages to Custom List View of your Modules. Please follow the below steps to configure Bulk SMS to List Widget and Button:

  1. To avail this feature you need to update and install the SMS-Magic Interact package version 25.0.
  1. Once, the updates to the package are installed, please follow the below steps to install the Bulk SMS to List Widget:
    • On Zoho CRM, go to Settings > Developer Space > Widgets
    • Click on the Create New Widget
    • Enter the details, as shown below:

3. Create a Bulk SMS to List button on List View- Utility Menu for any module you wish to send Bulk SMS to List. Please follow the steps mentioned in the Send SMS section to create the custom button. You can enter the data as shown in the screenshot below:

4. Select Open a Widget option for the last question What action would you like the button to perform?

6. Once installed, Save the Custom Button. The Bulk SMS to List button will be visible in the selected module on the utility menu as seen in the below screenshot.




Pre-requisites

  1. Users should have an account created at SMS-Magic Portal
  2. Once the account is created, the SMS-Magic API key is generated. The user needs to have this API key to create a connection on ZOHO Marketing Hub.
Note:

  • Sender ID restrictions differ from country to country
  • Only Bulk Messages and Automation messages are possible as of now
  • Creating SMS-Magic connection on ZOHO Marketing Hub

    1. From the Navigation toolbar of Zoho MarketingHub, select Settings and choose Apps under Integrations.

    2. Mouseover on the SMS-Magic box and click on the Connect button

    3. In the popup that follows, click on the Continue button

    4. Fill in the following information in respective fields:

    • SMS-Magic API 
    • SMS-Magic Sender ID

    6. Click on the Save button 




    Shooting SMS Campaign

    1.From the Navigation toolbar, under the Engagement menu, select the SMS campaigns option.

    2. Click on the Create campaign button in the top-right corner of the screen

    3. Fill in the following information and click on the Saveand Proceed button:
    • Name – Name your SMS Campaign for future reference
    • SMS gateway – Choose an SMS gateway as SMS-Magic
    • SMS content – Enter the content you wish to send as an SMS message Personalize your message using merge tags. Press Control+M and select the merge tag you wish to add. Enable Allow messages to send in multiple parts checkbox in case of using merge tags (content size may vary depending on merge tag).

    4. Add recipients

    Once you have entered the basic information and the SMS content, you need to select lists to which you want to send the SMS message. In the recipients step, select the desired mailing lists or segments. Once done click on the Next button.

    • Exclude leads

    If you wish to exclude a few recipients based on previously sent SMS campaigns or based on mailing lists, you can do so in this step. This way you can focus on newly added leads and avoid blasting messages to all leads. 

    To exclude leads:

    1. Click on the Exclude leads link in the recipients selection page 
    2. Select the previously sent SMS campaign or the mailing list, from the drop-down menu
    3. Click on the Save button 

    5. Add recipient details

    In the recipient details step enter the following information:

    • Lead’s number – Choose the fields containing the lead’s mobile phone number from the drop-down menu. You can select a maximum of three fields. The field that has a proper value will be considered with priority given to the first one you select.
    • Country – Choose the fields containing the lead’s country from the drop-down menu. You can select a maximum of three fields. The field that has a proper value will be considered with priority given to the first one you select.
    Note:

  • Enter just the country name in the respective field.You need not add the countries by their codes.
  • Enter recipients’ phone number without the country code
  • 6. Send content for review

    Once you are done with the above three steps, you need to send your SMS content to the ZOHO team for review. In the review step, click on the Send for review button.

    Your SMS will be reviewed based on the words used in the content. Any objectionable words will not be accepted. The links used in the content will also be checked for their reliability. These links should not redirect to blacklisted domains and to the pages unrelated to your business.

    If your content passes through the moderation, you can proceed to send it out. If your content does not abide by our moderation rules, your campaign will be stalled. You will then have to change your content accordingly and resubmit for review.




    Send automated messages via Journey Builder

    If you have a journey created, you have the option to add a Send SMS component for triggering automated messages

    The example below is of sending an automated message when a lead is added to a list. Once the Send SMS component is added, select the SMS gateway as SMS-Magic by clicking on the SMS icon.

    Fill in all the necessary details, such as the SMS text, mobile field and click on the Save button.

    Once this is done, you need to send the content for review. Click on the Send for review button.

    After the content is approved, you can activate the automation process and test it.




    Overview

    If you wish to send messages to more than 100 records of a Module from Zoho CRM, you can do so by using Send SMS to List.

    The ‘Send SMS to List’ feature allows you to send messages to records in Custom List Views of your modules. You can create the Custom List Views in your required modules based on a specific set of filters, and use the list view to send out messages at once.

    Follow the below steps to Send Bulk SMS to List:

    1. Open the module from which you want to send Bulk SMS to List. If the Send Bulk SMS to List is not available for the selected module, please follow the steps mentioned in Bulk SMS to List section to create a custom button.
    2. Click on Send Bulk SMS to List button in the Utility Menu.
    1. The ‘Bulk SMS to List’ widget will appear 
    1. Select a Custom List available in the Leads Module from the drop-down. The widget shows the number of records in the selected list.
    2. Select the Mobile/Phone field
    3. Click on the Send button
    4. You will be redirected to the SMS-Magic Web Portal. Further, please follow the steps mentioned in the Send Single/Bulk SMS section from step 4.



    Module Configuration

    You need to Configure Zoho CRM Modules to perform a Record Lookup on the Customer conversations that are newly created in Converse Desk.

    Select the Zoho CRM Modules in the order you want to run the Lookup on the Mobile Number of the Conversation. By default, Leads and Contacts Module will be selected. You can change these modules and also add 3 more modules to the order.

    When the Record Lookup is performed, the first matching record will be associated with the Conversation in Converse Desk. You should be able to see the Name of the Customer and the Module name on the conversation.




    Installation and Configuration

    You need to have a valid Zoho CRM account on which you have installed the SMS-Magic Extension. The supported CRM editions are –

    • Standard
    • Professional
    • Enterprise
    • CRM Plus
    • Zoho One
    • Ultimate

    You need to have an SMS-Magic account and configure Zoho CRM to work with this account.

    Note: SMS-Magic offers limited support for Standard and Professional editions of Zoho CRM.




    Incoming Number

    • To use any of the incoming features, you first need to acquire a dedicated incoming number to receive replies from your recipients.
    • All the SMS messages received on this number are pushed to your Zoho CRM and will also be recorded in your SMS-Magic account.
